3 WHAT PERSONAL DATA WE COLLECT AND FOR WHAT PURPOSE
We process personal data about you in a variety of situations. Read more below about our data processing in different situations.
3.1 Visitors to Samson Pumps website
When you visit Samson Pumps’ websites, (e.g. https://www.samson-pumps.com/ ) or use our other online services (such as LinkedIn, Facebook and YouTube), Samson Pumps can process information about your IP address as well as information about your computer, device and browser.
We also process information about your visit (e.g. information about the way you access our websites, how you navigate them, what pages you visit, content you view, your searches, ads you have seen, etc.). Our basis for processing is our legitimate interests (article 6(1), point (f) of the General Data Protection Regulation) or your consent (article 6(1), point (a) of the General Data Protection Regulation and section 3 of the Danish Cookie Order).
3.2 Samson Pumps’ customers and potential customers
When you are a customer/potential customer of Samson Pumps or a contact person with one of Samson Pumps’ customers/potential customers, Samson Pumps processes personal data about your name, address, work phone number/mobile number, e-mail address, title, your purchases, payment information and information from publicly available sources as well as other information that you provide to us – e.g. in connection with your purchase of our products and other situations related to this.
We process personal data for the purpose of complying with the agreement we have with our customers, for the purpose of providing services, invoicing, statistics and quality management, as well as for maintaining our customer records and providing overall service, marketing and sales to our customers and potential customers.
Our basis for processing is the agreement we have with you (article 6(1), point (b) of the General Data Protection Regulation) or our legitimate interests (article 6(1), point (f) of the General Data Protection Regulation).
3.3 Samson Pumps’ partners and/or suppliers
When you are a Samson Pumps’ partner or supplier or a contact person with a partner/supplier, we process information about your name, company name, company address, work phone number, e-mail address and title as well as publicly available information and other information that you provide to us.
We process the data for use in contract management as well as to receive goods and services from our suppliers and partners and, where relevant, to honour agreements with our customers.
Our basis for processing is the agreement we have with you (article 6(1), point (b) of the General Data Protection Regulation) or our legitimate interests (article 6(1), point (f) of the General Data Protection Regulation).
3.4 CRM System
Samson Pumps can collect and store personal data about you as a customer/potential customer, Samson Pumps partner and/or supplier.
We process personal data for the purpose of creating an overview of relationships in order to organize, optimize and maintain Samson Pumps relationships. Our process of personal data improves the customer/potential customer, Samson Pumps partner and/or supplier’s experience by marketing services, events, services, or other initiatives.
Our basis for processing is our legitimate interests (article 6(1), point (f) of the General Data Protection Regulation). The legal basis for collecting and storing the information in our CRM system is to pursue our legitimate interests in maintaining and optimizing the relationship by offering, implementing and evaluating marketing initiatives.
3.5 Marketing recipients
When you sign up for our newsletter, you accept to receive newsletters and other marketing materials from Samson Pumps A/S (hereafter “Samson Pumps”, “we”, “us” or “our”). The newsletters and marketing material contain news, products, events, etc.

Which personal data is collected about me?
When you receive marketing materials from Samson Pumps, we process information about your name, address, phone number/mobile number, company name, company address, title, preferred language, your interest in our products. We also process information about your marketing or communications preferences as well as your use of the marketing we send to you (including whether you have opened an e-mail from us, whether the e-mail is read and what links you have opened) and information that you provide to us.
We only send marketing material to you by e-mail or other electronic channels when we have obtained your consent as required by the provisions of the Danish Marketing Practices Act.
To document your consent to receive our marketing material, we register the time you have sign up, and if you unsubscribe our newsletter, we will also register the time you unsubscribe.
In addition, you should be aware that if you click on links in the newsletter to our website, we may collect additional information about you if you accept that our website uses cookies.
What do we use your personal data for?
When you sign up for our newsletter, we use your e-mail to send newsletters, offers and other marketing material to you about Samson Pumps, our company, and our services.
We do not use your e-amil for other purposes.
Our basis for processing is our legitimate interests (article 6(1), point (f) of the General Data Protection Regulation) and/or your consent (article 6(1), point (a) of the General Data Protection Regulation and section 10 of the Danish Marketing Practices Act).
The information we collect about your use of the newsletter, we use to improve our service, so that in the future we can become even better at targeting and adapting the content to your interests.
In addition, we use information about your use of the newsletter for statistical purposes in anonymised form.

We store your personal data confidential and secured. We have implemented the necessary technical and organizational safety measures to prevent that your personal data accidentally or illegally is destroyed, is lost or degraded, as well as to prevent, that your personal data come to unauthorized persons knowledge, is misused or otherwise is processed against the General Data Protection Regulation and EU or Member State data protection provisions.
We use the service MarketingPlatform ApS for sending out newsletters. MarketingPlatform ApS is a service supplied by Link Mobility and is based in Kolding, Denmark. MarketingPlatform ApS stores and processes personal data for us as data controller, and we have signed a written data processing agreement to ensure, that your personal data only is processed in accordance with our instructions, confidential, as well as the necessary safety measures for preventing, that your personal data is compromised or misused, are in place.

When we transfer personal data to countries outside of the EU/EEA, the transfer will be based on the standard transfer contracts drawn up by the European Commission or another similar transfer basis specifically designed to ensure an adequate level of protection.

How often are newsletters sent out?
We send out our newsletter, when we find, that we have news or something important to tell you. The newsletter is not necessarily sent out after a set of intervals. It can therefore differ when you will receive a newsletter from us. We do however strive to limit the number of newsletters, so that they do not fill your inbox.
We do not distribute your personal data
We do not distribute your personal data to others commercially. We only distribute personal data, which we are obligated to in accordance with the law, or if we are obligated following a court order.
You can always correct or change your personal data
You can always correct or change your contact information (your e-mail address) by unsubscribing the newsletter, and then resubscribe.

How long do Samson Pumps store the information about me?
We store and process your data for 5 years, after which we contact you via mail to ask for permission to continue store your data in our system(s).
According to the Danish Consumer Ombudsman’s guidelines, however, we must be able to document that those to whom we send newsletters have given their consent. We are therefore obliged to keep the documentation for up to 2 years after we have used your consent to send newsletters. Therefore, we store personal data as we register upon registration.
If you unsubscribe our newsletter we will make sure you will no longer receive marketing materials from Samson Pumps.
Your Rights
As a data subject, you have a number of rights under the General Data Protection Regulation. Please contact us if you want to exercise your rights.
You may withdraw any consent unconditionally and at any time. This can be done by sending an e-mail to us (see the e-mail address above). After your withdrawal we will no longer have a legal basis to send you marketing material.

We will then delete you from our contact list.
How long do you store the information about me?
We store and process your name, e-mail address, telephone number, company name, company type, the time for your consent and your ip-address up to five years. In accordance with the Danish Consumer Ombudsman’s guidelines and requirements we will store documentation for your consent, until we can contact you via e-mail and up to five years after, that we have sent you the information in question. Our processing of your personal data occurs on the basis of GDPR art. 6(1)(c) or art 6(1)(f), as we are obligated to start the processing and as we have a considerable interest in the ability to document, that we have legally collected your consent.

3.7 Participants in Samson Pumps’ events
When you sign up for and participate in events, including webinars held by Samson Pumps, we process information about your name, company name, your title, company address, work phone number/mobile number, and the event and/or webinar you are attending.
We process this information for the purpose of managing the event and for security reasons as well as to send you relevant materials.
Our basis for processing is our legitimate interests (article 6(1), point (f) of the General Data Protection Regulation) or your consent (article 6(1), point (a) of the General Data Protection Regulation and section 10 of the Danish Marketing Practices Act).
3.8 Other general purposes of data processing
We may enrich the information described above with information from other sources. This may be publicly available information – including information that we obtain through generally available sources.
Information that we have obtained for the purposes described above may also be processed by Samson Pumps for compliance with the laws and regulations to which Samson Pumps is subject in connection with the operation of our Samson Pumps or to fulfil various reporting or disclosure obligations under applicable laws and regulations (article 6(1), point (c) of the General Data Protection Regulation).
If Samson Pumps sells all or part of our business or sells or transfers our assets or otherwise is involved in a merger or transfer of all or a substantial part of our business, Samson Pumps may transfer your information to the party or parties involved in the transfer as part of this transaction where permitted under Danish law (article 6(1), point (f) of the General Data Protection Regulation).
Finally, Samson Pumps may process your personal data in order to enforce or defend our or any third party’s legal or legitimate interests where necessary, legal and proportional (article 6(1), point (c) of the General Data Protection Regulation).
4 SHARING YOUR DATA WITH OTHERS
Samson Pumps may disclose your personal data, to suppliers and/or service providers in connection with the general operation of our business.
Samson Pumps may also disclose your personal data to a public authority in situations where we are specifically bound to disclose your personal data in accordance with the laws and notification obligations to which we are subject.
We try to limit the disclosure of personal data in personally identifiable form and thus the disclosure of information that can be attributed to you personally.
Samson Pumps also entrusts your personal data to data processors, e.g. in connection with the administration of our IT systems and in connection with our marketing. Our data processors process your personal data solely for our purposes and on our instructions. We enter into data processor agreements with our data processors to ensure that the required security is in place and to protect the data and comply with our data protection obligations.
5 TRANSFER OF PERSONAL DATA TO COUNTRIES OUTSIDE THE EU/EEA
In connection with our processing of your personal data, we may transfer the information to countries outside the EU/EEA. Data protection legislation in these countries may be less restrictive than it is in Denmark and the rest of the EU/EEA. In some countries, however, the European Commission has determined that the data protection level is in line with the level of protection in the EU/EEA. 6 STORAGE PERIOD, DATA INTEGRITY AND SECURITY
Your personal data is stored no longer than is necessary to meet the purposes for which it has been collected. When your data is no longer necessary, we will ensure that it is deleted in a safe manner.
In accordance with the Danish Consumer Ombudsmans (in Danish: Forbrugerombudsmandens) guidelines and requirements, we store documentation of your consent to send marketing materials to you on e-mail until five years after we last have used your consent.
When you give us consent to contact you, we will store your data for 5 years in our system(s). It may take from few months to 5 or more years for you to integrate our solutions into your system.Therefore, we store your data for 5 years. After this period we will contact you via mail and ask for permission to store your data for another 5 years.

8 UPDATES
We are continuously evaluating and updating this data notification. It is therefore a good idea to keep yourself regularly updated. You can see above when the notification was last updated. The latest version will always be available on our websites.
9 INFORMATION ABOUT THE USE OF COOKIES
